Translator Scandinavia is a Sweden-based translation company with offices in Stockholm and Malmö and a team of 15 in-house employees supported by a global network of translators.
“We used to be purely a translation company, but now we have a SaaS offering as well,” explains Carolina Kühnemann, who leads information security and quality management, while also overseeing sales and marketing.
Translator Scandinavia now develops a SaaS solution that lets customers manage their own translations. With that shift, the expectations have become tighter for information security.
Challenge: File-based ISO management that didn’t scale
Before Cyberday, Translator Scandinavia already held ISO 9001 and ISO 27001 certifications. But the underlying management system was based on a tangle of documents and folders.
“We had a file-based quality and information security management system. A lot of files. So I realized at some point that that was not sustainable,” Carolina recalls.
Maintaining certifications meant constantly managing and updating these files, instead of focusing on work that grows the business.
“I wanted to concentrate more on sales and marketing and not so much on managing files.”
The company works with sensitive material for large IT companies, financial institutions, and medical organizations. GDPR requirements, security questionnaires, and procurement demands were becoming more frequent and complex.
On top of that, the company had learned the business value of strong certifications the hard way. They had once lost a long-standing customer in the medical sector because they were seen as not sufficiently mature in information security. That moment pushed them to take a more strategic approach.
“We made a strategic decision. We went for it because we felt that the demands were growing in the market,” Carolina says.
Today, those decisions are paying off: “We now have tender agreements with some of Scandinavia’s biggest banks. And you don't get to be asked to be in the tender if you don't have the ISO 27001.”
Choosing Cyberday: A Good Fit in Size, Tech, and Mindset
When Carolina started looking for a proper ISMS tool, she had strict requirements for any new system: it had to integrate seamlessly into their Microsoft-based environment, and it could not require employees to log into a completely new platform.
Cyberday stood out as the best match, both technologically as well as culturally and financially. She valued the fact that Cyberday was still a growing company, not a massive, distant vendor.
“I felt like we were good to each other because I was also in touch with other companies that were much bigger,” she says. “I wanted something where I could still meet people behind the product.”
She appreciated that Cyberday was evolving, the team was accessible and responsive, and customer requests were implemented quickly.
Price and value also played a role. “The other two options that I had shortlisted, they were more expensive and I didn't see the value. So I felt like Cyberday was giving me the most value for the money,” she notes.
Implementation: A hard migration that paid off
The move from a file-based system into Cyberday was not simple. In fact, Carolina is very open about how difficult the initial migration was. “It almost cost us our certification,” she says.
The challenge wasn’t really about Cyberday as a tool. It was about the magnitude of changing how ISO management worked inside the company:
- Moving from static files to a structured, task-based system
- Rethinking risk management instead of just copying old documents
- Adapting to Cyberday’s model, where things are clearly connected and traceable
Carolina also underestimated how much planning and strategy this required.
“It's easy to underestimate the work when migrating from one system to another.”
Looking back, her main advice to others is simple: don’t underestimate the time and effort and plan the migration carefully.
Yet, Carolina sees an important positive in Cyberday’s structure:
“In Cyberday, you cannot lie about stuff. I mean, it's either there and it's working or it's not. So it's not just Excel files where you change colors.”
Life with Cyberday: A to-do based mindset and responsive support
Once the dust settled, Cyberday became the central place where Translator Scandinavia runs its information security and quality management. Carolina particularly appreciates Cyberday’s way of breaking down standards into concrete tasks:
“I think it's a very good idea addressing these standards as a to-do list.”
Support has been a critical factor in her continued satisfaction:
“I've always been a happy customer, because when I needed help, Cyberday and their support was there for me.”
Business Impact: Stronger Position in a Demanding Market
For Translator Scandinavia, information security and quality certifications are directly tied to revenue and competitiveness. The combination of ISO 27001 and 9001 has allowed them to:
- Meet strict security expectations from banks and large enterprises
- Qualify for tenders they couldn’t even access before
- Respond more confidently to GDPR and data protection demands
By moving their ISO work into Cyberday, the company has reduced the time Carolina spends chasing and updating scattered documents, and gained a more honest, up-to-date view of where they stand. This also supports their ongoing transformation into a SaaS-first company.
“I really like the work you do in Cyberday and I hope that you're around for… at least five years more so I can still use your services,” she says with a smile.
Conclusion: Ready to Modernize Your ISO Work?
Translator Scandinavia’s journey shows that moving from a file-based ISO approach to a structured ISMS like Cyberday can be challenging, but also transformative. It helped them support a strategic shift into SaaS, meet demanding customer expectations, and participate in tenders with some of the largest banks in Scandinavia.
If you’re managing ISO 27001, ISO 9001, or other frameworks with scattered files and manual processes, now is a good time to explore a different way of working.
