Workflow: Tiedonhallintamalli

Back

Tiedonhallintamalli is the workflow for maintaining the Finnish public-sector information management model — toimintaprosessit (action processes), tietovarannot (information stores), tietoaineistot (information sets), and muutosvaikutusten arvioinnit (change-impact assessments).

🆕 What's new: The Tiedonhallintamalli workflow brings together what used to be spread across themed lists. Your existing toimintaprosessit, tietovarannot, and assessments are all here, exactly as they were — just on one focused page.

When this workflow appears

Tiedonhallintamalli is visible when you have TIHL active among your frameworks. This framework is intended for Finnish public-sector organisations. Activate TIHL and the workflow appears in the Workflows list on the Dashboard. Deactivate TIHL and the workflow returns to the framework-specific catalogue.

Setting it up

Tiedonhallintamalli is a framework-specific workflow — there's no separate guided setup. The workflow is available directly; configuration (owner, Tiedonhallintamalli-related documentation, related tasks) is handled inline on the page when relevant.

What's on the page

Main metrics

A single trend line: your TIHL compliance score over time, sourced directly from the compliance view. This is the one metric the workflow optimises against — there are no separate operational counters for Tiedonhallintamalli.

Documentation

The documentation that backs the Tiedonhallintamalli practice, organised into two groups:

Assets

  • Toimintaprosessit (action processes) — the operational processes the organisation runs
  • Tietovarannot (information stores) — the stores where official information lives
  • Tietoaineistot (information sets) — the specific information collections handled

Records

  • Muutosvaikutusten arvioinnit — change-impact assessments

Each documentation row shows the total item count, items still to work on, the related ISMS theme, and the responsible owner.

Tasks

Below the documentation, the workflow page lists the operational tasks tied to information management — process documentation, information-store ownership assignment, retention rule definition, change-impact assessment routines. Each task shows its theme, status (Untreated / Partly done / Mostly done / Fully done), owner, priority (Low / Normal / High / Critical), and due date.

Reports

The audit-ready outputs Tiedonhallintamalli produces:

  • Tiedonhallintamalli — the model document itself, in the structure TIHL expects
  • Asiakirjajulkisuuskuvaus — the public-documents description published per the Finnish information management law

Reports refresh from your live data, so they're always current.

How it connects to other workflows

Tiedonhallintamalli is a relatively standalone workflow — it has its own framework basis (TIHL) and its own object types. The closest links are to Asset inventory (tietovarannot are also data stores), and to Change management when changes need a muutosvaikutusten arviointi documented.
