Feature: Guideline list

As you may know, you can activate either pre-made or your individual guidelines, which will be shown to your employees in the Guidebook. If you are interested in learning more about our guideline feature or the Guidebook in Cyberday in general, please make sure to check our guideline topic in the Academy.

Accessing the guideline list

Where to find this view: Dashboard -> Guidelines

You will find your personal guideline list from the "Guidelines" tab from the menu on the left in your Organization Dashboard.

List Filters

Once you have opened the guidelines list, you can apply filters, if you want to search for example for guidelines, that have been shared with specific units (i.e. data set owners, unit owners, etc.) only or if you want to filter by the distribution (all, all active guidelines, shown for all employees, shown for selected units, in preparation, inactive). You can also search for specific keywords by using the keyword search function.

List View: Details

You cannot only see the list of the guidelines, but you can also access the guideline content in more detail by simply clicking the "+" button on the left. Like this, you do not have to open the guideline and leave the list view, if you want to check the guideline itself.

Guideline cards

Each guideline has a card with more details behind it, which will open if you click on the guideline in the list. You can use the suggestions from our library or create your custom guidelines. Each guideline can be adapted to your specific needs. You can see, if a guideline is fully custom or if it is from the library iin the lower right corner of the guideline card.

Each guideline card has four different tabs:

The "Guideline" tab with the basic guideline, "Training content", where you can activate or create your own additional training content for your employee, "Review cycle", where you can enable a custom review cycle, for example every 12 months (this is a pre setting, which is decided by the inherited from organisation settings) and the "Log and comments" tab, where you can find the general log and all potential comments and activities of the guideline. Each guideline should have an owner to maintain the correct information for the guideline. You can further select who should see the guideline - all employees or only specific units maybe? You can see the progress bar of the acceptance of the guideline on the left side as well. If you would like to get a more detailed view of the acceptance, click on the purple text "Employee acceptance" and a list with the acceptance status and if accepted, also the acceptance date with the employee name will appear.

Adding a new guideline from the library

You can see our ready-made guidelines from the library listed in each theme. Simply click the "Activate guideline" button to add the guideline to your list. You can customize the guideline or even add external files by simply clicking on the three purple dots next tot he guideline activation button. Note: As long as the status of the guideline is "in preparation", the guideline will not be shown in the Guidebook.

Adding custom guidelines

You can add new guidelines to each theme. First, you need to open the theme you would like to add an additional guideline to. Then, click on the "Add guideline" button in the upper right corner.

A pop-up window will open, where you can select the category of the guideline, the title, a description, the owner and if you have a multilingual Guidebook, also another language version.

Guidelines serve as a compass, helping employees understand the organization's mission, values, and objectives, while also promoting consistency in decision-making and actions. Clear guidelines enhance productivity and efficiency by minimizing misunderstandings and conflicts, ultimately fostering a harmonious work environment.
